Privacy Policy

1. Who we are

Fill Your Venue is a CRM and workflow tool for private event venues. We are operated by Steve Towers (sole trader). You can reach us at support@fillyourvenue.com.

2. What we collect

We collect information you give us directly, including:

• Account details (name, work email, venue name) when you book a demo or sign up
• Billing information processed by Stripe (we never store card numbers)
• Venue data you enter into the app (leads, contacts, proposals, event details)
• Email content processed by our AI agent when you connect your inbox
• Usage data (pages visited, features used, errors) to improve the product

3. How we use it

We use your information to:

• Provide and operate the Fill Your Venue service
• Process payments and send receipts
• Respond to your support requests
• Send product updates and announcements (you can opt out any time)
• Improve the product through aggregate usage analysis

We do not sell your data. We do not use your venue data to train AI models for other customers.

4. Third-party services

We use the following trusted third parties to operate the service:

• Supabase for database, authentication, and storage
• Stripe for payment processing
• Resend for transactional and notification email
• Anthropic for AI features (email classification, scoring, draft generation)
• Vercel for application hosting
• Cloudflare for content delivery and edge networking
• Sentry for error monitoring
• PostHog for product analytics

Each operates under its own privacy policy and a data processing agreement. The current list, with locations, is in our Data Processing Agreement.

5. Data retention

We retain your account data for as long as your account is active. If you cancel, we will delete your data within 90 days on request. You can export all your data at any time via CSV export in the app.

6. Your rights

You have the right to access, correct, export, or delete your personal data. Contact us at support@fillyourvenue.com and we will respond within 5 business days.

If you are in the EU or UK, you have additional rights under GDPR and UK GDPR, including the right to lodge a complaint with your local data protection authority.

7. Cookies

We use essential cookies for authentication and session management. Inside the app we use PostHog for product analytics, which may set cookies and identify logged-in users so we can understand and improve how the product is used. We do not use advertising cookies.

8. Changes to this policy

We may update this policy as the product evolves. We will notify active subscribers by email if we make material changes. The date at the top of this page reflects the most recent revision.
